Basis and Purpose of Personal Data Processing

The processing of personal data is based on:

1. The contractual relationship between the data subject and the controller.

2. Legitimate interests of the controller (if the right to use is ordered for the user on behalf of the employer).

Personal data is primarily processed for the production, maintenance, protection, development, and customer service related to the Kameleon software. It may also be used for customer communication, marketing, user outreach, direct marketing, statistics, analysis, usability, preventing misuse, and business planning and development.

Regular Data Sources

Information is obtained from the data subject and through information technology.

Processed Personal Data

User's first and last name, email, phone number, organization, title, and unit where they work. Additionally, the user's Kameleon ID is stored.

Disclosure of Personal Data

Personal data is disclosed only to data processors acting on behalf of the controller. This includes Microsoft, which is used for generating and distributing document templates to registered users.

Transfer of Data Outside the EU or EEA

Data is located within the EU in the data storages of the service providers contracted by Document House Oy.

Protection of Personal Data

The controller has implemented appropriate technical and organizational measures to protect personal data. Data is stored only in digital form.

Retention Period

Data is deleted from the Kameleon service 12 months after the service ends.

Rights of the Data Subject

Data subjects can contact the controller for questions or to exercise their rights. These include the right to access, request correction, request deletion, and object to the processing of personal data for direct marketing, distance selling, and other purposes.
